Privacy Policy

1. Introduction

Cognora is an AI meeting-memory service for professionals and teams. We capture meeting audio (via browser extension, bot, or upload), transcribe it, summarize it, and store it for long-term recall through search and Cognora AI chat. This policy describes how we handle personal data during the controlled beta.

2. Data we collect

• Account and profile data — name, email, authentication identifiers, preferences, and workspace membership.
• Meeting metadata — titles, dates, participant display names where the capture source exposes them (for speaker labels — not a guaranteed attendance roster), source (extension, bot, upload), and scope (Personal or Workspace).
• Meeting content — audio recordings, transcripts, summaries, action items, and notes you create or import.
• Workspace data — workspace names, member roles, and content shared within a workspace when you use Workspace scope.
• Integration data — OAuth tokens and metadata for connected services (for example Google, Slack, or Notion) only when you connect them.
• Billing data — subscription or pass status, plan references, and payment-provider transaction references. Razorpay collects payment details; Cognora does not store full card numbers.
• Extension and device data — device pairing tokens, connection status, and capture logs needed to operate the extension.
• Technical and security logs — IP address, browser type, request logs, and security events used for reliability and abuse prevention.

3. How we use data

• Provide capture, transcription, summarization, memory recall, and Cognora AI answers.
• Operate Personal and Workspace memory with membership-verified access controls.
• Process billing, subscriptions, and one-month passes through Razorpay.
• Administer accounts, workspaces, and support requests.
• Maintain security, prevent abuse, and improve product reliability.

4. Personal vs Workspace data

Personal memory is tied to your individual account. Workspace memory is shared with workspace members according to roles and product settings. Workspace administrators should only invite trusted members and should not import or capture content they are not authorized to share.

5. Memory architecture

Postgres is the canonical store for meetings and account data. Cognora also uses a semantic memory/index provider (Tex) to power recall and search. Data in third-party systems may be subject to their retention and deletion limits.

6. Processors and subprocessors

We use service providers in the following categories to operate Cognora:

• Cloud hosting, database, cache, and object storage.
• Speech-to-text for transcription.
• Large language models for summarization and recall answers.
• Semantic memory/index services for recall.
• Razorpay for payments.
• Connected integrations (Google Calendar, Slack, and Notion) only when you authorize them.

We do not publish a fixed subprocessor list in this beta document. Categories may change as the product evolves. We require providers to handle data only as needed to deliver the service.

7. Retention and deletion

We retain data while your account is active and as needed to provide the service, comply with law, resolve disputes, and maintain security. Deletion from every third-party system (including semantic index providers) may not be immediate or complete where those providers do not support hard delete.

You may request access, export, correction, or deletion by emailing getcognora@gmail.com. We will respond according to applicable law and technical limits. You can stop future capture by disconnecting integrations, stopping recordings, and deleting meetings where the product allows.

8. Security

We apply access controls, authenticated sessions, and server-side handling of integration tokens. See our Security page for a beta summary. We do not claim formal certifications (such as SOC 2 or ISO 27001) in this beta.

9. Your choices

• Connect or disconnect integrations in product settings.
• Choose Personal or Workspace scope when capturing or importing.
• Request access, export, or deletion by email.
• Stop future capture and imports at any time.
